5/8 PROGRAM STAKEHOLDER ENGAGEMENT SUMMARY

Program Stakeholder Engagement

This performance domain is focused on identifying, analyzing, and managing stakeholder needs, expectations, and communications to foster support for the program. Stakeholders, who may be internal or external to the program, can have varying levels of impact and influence on the program’s outcome.

The process involves:

1. Program Stakeholder Identification:

Systematically identifying all key stakeholders and categorizing them in a stakeholder register, which outlines their relationship to the program, ability to influence the program outcome, degree of support for the program, and other relevant attributes.

2. Program Stakeholder Analysis:

Categorizing and analyzing stakeholders to understand their needs, expectations, and influence. This analysis helps the program manager to understand the organizational culture, politics, and concerns related to the program, as well as the overall impact of the program.

3. Program Stakeholder Engagement Planning:

Outlining how all program stakeholders will be engaged throughout the program. This plan includes stakeholder engagement guidelines and defines the metrics used to measure the performance of stakeholder engagement activities.

4. Program Stakeholder Engagement:

Continuous activity involves engaging with stakeholders, assessing their attitudes and readiness for change, and involving them in program activities. The program manager must ensure that all stakeholders are adequately and appropriately engaged throughout the program.

5. Program Stakeholder Communications:

Central to stakeholder engagement, effective communication creates a bridge between diverse stakeholders. It is key to executing program endeavours and delivering benefits to the organization. The program manager should actively engage stakeholders throughout the program, crafting specific communication strategies for each stakeholder.

Conclusion:

Program Stakeholder Engagement is a critical aspect of program management that systematically identifies, analyses, and engages all individuals or groups interested in the program. The program manager plays a pivotal role in this process, acting as a bridge between the current state of the organization and the desired future state that the program aims to achieve.

Effective stakeholder engagement is not just about communication; it also involves negotiation, conflict resolution, and fostering a collaborative environment. The program manager must continually assess stakeholder attitudes, expectations, and readiness for change and adapt engagement strategies as the program evolves. This engagement is essential for gaining and maintaining stakeholder buy-in, which is crucial for successfully delivering the program’s objectives, benefits, and outcomes.
